The short answer

Most companies start with Incoming and need Outgoing only when they produce goods themselves or export outside the EU.
Opening Due Diligence Statements in the app initially takes you to Incoming. Use the Outgoing menu item to switch direction.

What determines the direction: order type

Both pages are tied to the order type you set when importing orders — see Import & Creation:
  • Purchase (purchase) — incoming goods from suppliers. Appears under Incoming.
  • Sale (sale) — outgoing goods to customers. Appears under Outgoing.
An incorrect order type puts the order on the other page. This is the most common reason an order appears to be missing.

What each page shows

  • Orders without a DDS reference — purchase orders not yet assigned to a DDS. This list is filtered to orders with EUDR-relevant items: a purchase order with no relevant article is deliberately absent.
  • Import due diligence statements — all DDS with the activity Import, including your own and linked external statements.

What each page requires

1

For Incoming

  • A supplier with a recorded country, which controls risk classification — see Which Supplier Address?.
  • Purchase orders containing EUDR-relevant articles.
  • Geodata and legal evidence for the articles so the DDS can be submitted.
  • EU TRACES credentials in Settings — see TRACES Registration.
2

For Outgoing

  • Sales articles. For these, your own company is the supplier; no external supplier is needed.
  • Either your own production plots (production country and plot through “I produce this” on the outgoing dashboard) or linked incoming articles through the BOM, whose DDS provide traceability.
  • EU TRACES credentials for submission here too.

DDS activity type

When creating a DDS through Incoming, choose the activity in the first step: On Outgoing, this step is omitted: the activity is automatically Domestic production.

How automation routes orders

Automatic DDS assignment and creation (Settings → Automations) uses supplier and destination country as a technical proxy for the next workflow step:
This is a platform rule, not a legal determination. Article 13 depends on the country of production, not the supplier’s registered office, and simplified due diligence does not remove due-diligence obligations. Verify the production country, your operator role and any upstream DDS. If the supplier country is missing, Polygon One takes the cautious route and suggests the DDS workflow.
Sales orders are never assigned to a DDS automatically because the system does not know your internal batch traceability. Assignment on Outgoing is always manual.
